Getting Started

The basics

What is TideWatch and who is it for?
TideWatch is a post-award grant execution platform for organizations that manage federal, state, or foundation grants: nonprofits, local governments, school districts, tribal agencies, and rural health providers. If you're spending more than $50,000 in awards a year, TideWatch is built for you.
What plans do you offer?
Starter ($129/mo) covers up to 5 active grants and gives you compliance tracking, budget monitoring, and standard reports. Professional ($249/mo) covers up to 15 grants and adds AI impact reports, portfolio dashboard, and priority support. Enterprise is custom for portfolios larger than that.
Can I try TideWatch before committing?
Yes. Starter and Professional both come with a 14-day free trial, no credit card required to start. Request a demo from the pricing page and we'll walk you through the platform against your actual portfolio.
Grants

Managing your grants

What kinds of grants does TideWatch support?
Federal (across DOT, HHS, HUD, EPA, DOE, DoED, and more), state formula and discretionary grants, foundation awards, and pass-through funding. The compliance engine understands 2 CFR 200 requirements out of the box, and the report templates support Uniform Guidance closeout, single audit, and federal SF-425.
Can I import grants from PDFs or Word docs?
Yes. The AI importer reads federal notices of grant award, foundation award letters, and modifications, then extracts the fields into a new grant record for you to review and confirm. It works with PDFs, Word docs, and scanned images. See the "Import a grant from a document" guide.
Is there a limit to how many grants I can track?
Active grants are what count toward your plan limit: 5 on Starter, 15 on Professional, unlimited on Enterprise. Closed grants stay in your archive for the retention period (typically three years under 2 CFR 200.334) without counting toward the active limit.
What if a grant has multiple sub-recipients or partners?
Add each sub-recipient as a partner on the grant record with their scope and share of the award. TideWatch tracks sub-recipient budgets separately, generates sub-award compliance items automatically, and includes them in the closeout report.
What if we make grants instead of receiving them?
Everything on this page describes TideWatch's out-of-the-box workflow for organizations that receive and execute grants. If you're a foundation, government agency, or other grant-making organization, we build custom intake and reporting flows for you and your grantees: application forms, review workflows, disbursement tracking, and grantee-side reporting shaped to your programs. Reach out at hello@tidewatchai.com to talk about a custom setup.
Compliance

Compliance and audit

Does TideWatch help with 2 CFR Part 200?
Directly. The compliance engine maps Uniform Guidance requirements to your specific grants: procurement rules, cost principles, single audit thresholds, retention, sub-recipient monitoring. When a rule changes (like the 2024 threshold moving from $750,000 to $1,000,000), the platform updates for every grant automatically.
How does TideWatch handle audit prep?
Every expense, every compliance item, every document upload is timestamped and hashed. When your auditor asks for the record of a transaction from eighteen months ago, you produce it in seconds, with the source document, the approval, and the reconciliation attached. There's no scramble.
Do I get alerts before deadlines?
Yes. Every compliance item generates in-app notifications and daily digest emails at 30 days out, 7 days out, and the day before due. You can adjust the cadence or turn off email in Settings > Notifications.
Reports

Reports and impact narratives

How does the AI Win Story Generator work?
It reads what's already in your grant record (milestones completed, dollars spent, deliverables produced, photos tagged by program phase) and drafts a narrative report suited to your chosen audience (funder, board, foundation, public) and tone. Every number in the draft links back to the source record so it's auditable.
What report formats can I export?
PDF for funder submission, DOCX for further editing in Word, and plain HTML for embedding in emails or intranets. Financial reports also export to XLSX with the source line items.
Can TideWatch generate SF-425 or Uniform Guidance closeout reports?
Yes. The Reports tab includes federal templates for SF-425 (Federal Financial Report) and the standard Uniform Guidance closeout structure. Values pull directly from your budget and compliance records; you review and submit.
Team

Team and access

How many users can I have?
Unlimited team members on every plan. What varies is the roles: Admin, Manager, Contributor, and Viewer are on Starter and Professional; Enterprise adds custom roles and single sign-on (SSO).
Can I share a grant with a funder or auditor?
Yes. Invite them as a Viewer restricted to a single grant. They see everything about that grant (budget, compliance, documents, activity) but nothing about other grants or your organization settings. Access is revocable at any time.
Does TideWatch support single sign-on (SSO)?
Enterprise plans include Security Assertion Markup Language (SAML) single sign-on with your identity provider (Okta, Azure AD, Google Workspace, and others). Starter and Professional use email + password or Google sign-in.
Security & Billing

Security, data, and billing

Where is my data stored?
In encrypted PostgreSQL databases hosted on Supabase's US infrastructure. Documents are stored in object storage with encryption at rest and in transit. TideWatch does not use your data to train models. See the Security page for the full data-handling policy.
Is TideWatch SOC 2 compliant?
SOC 2 Type II is on the roadmap for 2027. In the meantime, we follow SOC 2 controls in practice: audit logging on every mutation, encryption at rest and in transit, access reviews, and incident response procedures. Contact us for our current security whitepaper.
How do I upgrade or change plans?
From Settings > Billing. Changes take effect at the start of your next billing cycle; upgrades apply immediately with a prorated charge. Contact billing@tidewatchai.com for enterprise or annual pricing.
Can I cancel? Do I keep my data?
Yes to both. Cancel from Settings > Billing at any time. Your account stays active through the end of the current billing period. Export everything (grants, budgets, documents, compliance history) from Settings > Data Portability before you go, and TideWatch keeps a 30-day recovery window in case you want to come back.
